Sharing and guest links

The best way to share a plan is to share the plan itself. Everyone you share with sees the live, interactive version: every tab, always up to date, with nothing to download or reissue when the plan changes. Use offline copies only when someone needs a file, such as for a submission or document control.

There are two ways to share a project online:

Project access

Anyone in your organisation can be given access to a project. Authors and organisation admins add people in Team Members (in the project menu, under the project name) and give each a role:

  • Author: can view and edit the plan.
  • Reviewer: can view the plan and comment on it.

Organisation admins can see and edit every project. If your organisation has Open projects turned on (in the organisation's Settings), every member of the organisation can view every project, read-only, without being added to it (see Your organisation).

Everyone with access sees the whole project: every tab, every item's details, and its attachments and exports.

Public links

Public links are off by default. Nobody outside your organisation can see a project until an Author or organisation admin turns on its public link, as described below.

A public link lets anyone view the project without an account. Turn it on in the project's Settings, under Public link, with Enable public link, then copy the Public URL to share. You can also turn it on in the last step of creating a project.

Password protection adds a password that guests must enter before they can view. Plan Swiftly generates the password for you and shows it only once, so copy it straight away. If you lose it, use Regenerate password to get a new one.

You can change who has access at any time:

  • Regenerate link replaces the link with a new one. The old link stops working straight away.
  • Regenerate password replaces the password. The old password stops working straight away.
  • Turning off Password protection lets anyone with the link view the project.
  • Turning off Enable public link removes access for everyone using it. If you turn it on again you get a new link, which you'll need to share again.

Each of these asks you to confirm first, because it changes who can see the project.

What guests see

Guests see the live plan, read-only. Changes you make appear for them the next time they load a page.

  • They can open every tab your plan includes, and click into any item's details.
  • They can't edit or comment.
  • They see estimated hours but never actual hours.
  • They can't see or generate exports, or open the Health Check.
  • They can see attachments only once the project is locked.

Before you share a link

Anyone with the link can see the plan, so check it first. The Enable public link switch shows how many Health Check issues are open, with a link to them (see Health Check).

If you want guests to see a settled version rather than work in progress, lock the project before you share it. A locked project can't be edited until an Author or organisation admin unlocks it (see Locking a project).

Comments

Signed-in people can comment on the project, depending on its Comment mode. Guests never comment, whatever the mode. See Comments.
