Planner

The Planner is a board for tracking the work day to day. The rest of the project describes the plan; the Planner is where the team keeps track of what's being done now. Open it from the Planner tab.

Columns and cards

The board is made of columns, each holding cards. A new project starts with three columns: Backlog, In Progress and Complete. Change them to suit how your team works:

  • Add column adds a column at the end of the board.
  • A column's menu has Rename and Delete. Deleting a column deletes every card in it, so move any cards you want to keep first.
  • Drag columns to reorder them.

Add card at the bottom of a column adds a card. Drag cards up and down a column to prioritise them, and between columns as the work moves on.

Unlike the other tabs, the Planner has no Edit button. Anyone who can edit the project can change the board straight away.

A card's details

Select a card to open it. Everything saves as you go, so choose Done when you've finished.

  • Title and Description: what the work is.
  • Assignees: the project team members doing it.
  • Due date: when it's due.
  • Priority: Urgent, High, Medium or Low.
  • Labels: coloured tags for grouping cards, such as a workstream or a type of task. Create a label with a name and a colour, then select labels to add them to the card.
  • Checklists: lists of smaller steps. Add a checklist, add items with Add item…, and tick them off as they're done.
  • Cover image: an image shown at the top of the card. Drag and drop one, or click to upload.

On the board, each card shows its cover image, labels, priority, due date, assignees and checklist progress, so you can see where things stand at a glance.

Who can use it

Everyone who can view the project can see the Planner, including guests using a public link. Authors and organisation admins can change it. While the project is locked, the board is read-only too (see Locking a project).

The Planner isn't included on every plan.
