Guides to Plan Swiftly: getting started, planning your project, working on it with your team, sharing it, and your account.

How a plan fits together

Every activity sits in a phase of the project lifecycle and belongs to a work package. Roles are assigned to it with a RACI responsibility (Responsible, Accountable, Consulted or Informed), and it produces products. Products are expected at milestones, the points the project must reach, and a milestone that needs a go/no-go decision is a gate.

You don't need every part to have a useful plan. Start with phases, a work package and activities, then add roles, products and milestones as you need them. Processes, governance bodies and tools add more detail when your project calls for it.

Getting started

  • Getting started: create a project, find your way around and make your first edits
  • Project tabs: what each tab shows and what you can do there
  • Templates: the example plans you can start from, and how to adapt one
  • How saving works: changes save automatically, and what the save status means

Planning your project

  • Phases and milestones: the project lifecycle, gates, and what each milestone must achieve
  • Organisation and RACI: who's involved, who does what, and how that shapes the Roadmap
  • Work packages: how activities are grouped into a hierarchy
  • Activities: the work itself, with its phase, roles and products
  • Products: what activities produce, and the milestones they're expected at
  • Processes: an optional way to show how activities fit your governance methods
  • Governance bodies: the boards and committees that make decisions and approve gates
  • Tools: the software and systems the work relies on
  • Estimating: effort hours, three-point estimates and actual hours

Working on a plan

  • Health Check: finding problems in the plan, with fixes
  • Comments: discussing and reviewing the plan on the items themselves
  • Locking a project: freezing an agreed plan so nobody can change it
  • Planner: a board for tracking the work day to day
  • Attachments: keeping supporting files with the plan

Sharing your plan

  • Sharing and guest links: giving people access to the live plan, and public links for anyone outside your organisation
  • Offline copies: files to print or send: PDF Export, Management Plan, Poster, Estimation Report, Role Pack and Effort CSV
