Locking a project

Locking a project freezes the plan so nobody can change it. Lock it when the plan is agreed, such as when it's issued, approved at a gate or shared with a client, so everyone sees the same settled version. Unlock it when you need to revise it.

Locking and unlocking

Open the project's Settings and find Project locked, under Editing and Review. Choose Lock to lock the project, or Unlock to make it editable again. Authors and organisation admins can lock and unlock a project.

Before you lock, check the Health Check count shown beside the button, since nobody can fix problems until the project is unlocked again (see Health Check).

What a locked project does

While a project is locked:

  • Nobody can edit it, organisation admins included. Edit buttons are hidden across the tabs, and the Overview shows "This project is locked. Editing is disabled."
  • Nothing can be added, changed or deleted anywhere in the plan: activities, products, the organisation, milestones, the Planner and attachments.
  • Only organisation admins can change the project's Settings.

Some things carry on as normal:

  • Everyone who could view the project still can, including guests using a public link.
  • People can still comment, so you can review a locked plan without anyone changing it (see Comments).
  • You can still generate offline copies (see Offline copies).
  • Guests using a public link can see the project's attachments, which they can't while it's unlocked (see Sharing and guest links).
